What is Hotel RCU and How It Works with PMS

Hotel RCU is the brain behind every smart guest room. Here is how it connects to your PMS.

What is a Hotel RCU?

A hotel RCU (Room Control Unit) is the embedded controller in each guest room. It receives commands from smart panels, sensors, the card reader and the hotel PMS, then drives lighting, air-conditioning, curtains, door displays and service buttons through a safe low-voltage bus.

How a Hotekey RCU works with the PMS

Each Hotekey RCU runs local control logic and reports to Hotekey Cloud, which normalises room data and pushes it to the hotel PMS. When a guest checks in, the PMS sends the room state; when the card is pulled, the RCU sets the room to energy-saving mode automatically.

Why it matters for hotel owners

  • Real-time room status for housekeeping and front desk.
  • Energy saving — AC and lighting follow occupancy and PMS schedule.
  • One console for mixed RS-485 / KNX / BLE / Zigbee rooms.

What happens at check-in: the event flow

  • Check-in — the PMS marks the room occupied; the RCU runs the welcome scene: selected lights, default AC setpoint, curtains.
  • In room — keycard, door sensor and panel commands are executed locally by the RCU, with no round trip to the cloud.
  • Check-out — the PMS posts the departure; the RCU switches loads off and flags the room for housekeeping.
  • Status back — do-not-disturb, make-up-room and maintenance alerts flow from the RCU to the PMS console.
  • Energy — per-room consumption is collected and reported alongside occupancy.

Which PMS platforms integrate

HOTEKEY integrates with mainstream hospitality PMS platforms — Opera / Fidelio class systems and chain-hotel APIs — over TCP/IP or serial links, with the interface parameters agreed per property. The mapping table (room numbers, event types, scene definitions) is documented at handover so any future engineer can modify the integration safely.

When room status does not sync

Most go-live sync failures are interface parameters or room-number mapping, not broken links. Debug one room end to end first (check-in → welcome scene → status back), then audit the mapping table for the remaining rooms — duplicated or shifted room numbers are the most frequent fault on multi-building properties. Details in the PMS integration guide and the RCU troubleshooting guide.

Self check-in and unattended rooms

Linked with self check-in kiosks and smart locks, the same event chain supports unattended operation: the guest receives an authorised card or mobile key, and the room prepares itself on first entry — the PMS sees the occupied status without front-desk action.
